Familyplans Ltd – Full privacy notice
This privacy notice explains how we use your personal information when organising Family Group Conferences.
Who we are
Familyplans Ltd (“we”, “our”, “us”) organises Family Group Conferences (FGCs) on behalf of local authorities and other referring organisations.
We are the data controller for the information we only collect directly from you.
What information we collect
To arrange and deliver a Family Group Conference, we may collect:
Your name, address, email, telephone number, and online contact details
Information provided by the referring local authority that is relevant to the FGC process (usually the child/ren’s : name, age and gender; parents/carers :name, gender, address, telephone number/email). When a local authority makes a referral to us, they act as the data controller for the information they provide to us.
How we use your information
We use your personal information only to organise, manage and review your Family Group Conference.
Our lawful basis for processing is:
Article 6(1)(f) Legitimate interests – in supporting families and the referring authority to deliver support and guidance as a part of the family group conferencing process.
The condition to process sensitive data (special category under GDPR) will be Article 9(2)(h) processing is necessary for the purposes of.., the provision of health or social care or treatment or the management of health or social care systems and services.
The relevant substantial public interest condition under the Data Protection Act 2018 is Schedule 1, Part 2 Para 2: health or social care purposes.
Sharing your information
We may share your information only with:
Independent FGC coordinators who are directly working with you
The referring local authority, where necessary for the FGC process
All FGC coordinators are contracted to comply with UK data protection law and handle all data securely.
We do not use your data for marketing or share it with any unrelated third parties.
How long we keep your information
Independent FGC coordinators delete your information once their work with your family is complete (normally after the review FGC).
Familyplans Ltd keeps only the final family plan and deletes it regularly once the local authority confirms they have securely retained their copy.
The Family Plan contains the agreed actions from the FGC and normally includes minimal personal information.
No personal data is retained longer than necessary for these purposes. Typically no longer than 12 months unless the local authority requests otherwise.
Data security
We store information securely in accordance with UK Data Protection legislation requirements. Data is stored in encrypted, access‑restricted systems.
Access is restricted to authorised Familyplans Ltd staff and independent coordinators only.
International transfers
We do not transfer your personal data outside the United Kingdom.
Your data protection rights
You have the right to:
Request access to your personal data
Request correction or deletion of your data
Object to or restrict how we process your data
Request data portability (in some circumstances)

Data breaches
In the event of a data breach, we will report it to the ICO and, where required, inform affected individuals without undue delay.
